Meeting Make Ups Overview

What is a make up? 
Attendance is important in Rotary. A make up is a Rotary meeting at another club, or any Rotary-related event or meeting you attended that you would like to use as a credit for missing one of the weekly Rotary Club of Edina meetings. Traditionally, meeting make ups were given for attending another club's weekly Rotary meeting in place of your home club's meeting. Many other Rotary events now count as make ups, too.
 
Here are the most common kinds of make ups our members send in:
 
• Rotary Club of Edina Board or Edina Rotary Foundation Board meetings
 
• Monthly Rotary Happy Hour/Vocational Development Group meetings
 
• Committee meetings (International Grants Committee, Local Funding Committee, Membership Committee, Public Image Committee, etc.)
 
• Community service projects such as Feed My Starving Children, VEAP Weekend Food Packaging, serving a meal at Cornerstone and many more
 
• Youth Service projects (Camp Enterprise, Third-Grade Reading Program and Youth Exchange)
 
• Rotary social events (Bowling Night, Fireside Chats, theater nights, etc.)
 
• District events or meetings (Area 3 meetings, Fall Training, Mid-Term Assembly, District Conference)
 
 
Note that a few of our Rotary Club of Edina events are NOT make ups, as they are counted as regular meetings for the month. These events require you to do a make up if you do not attend. They do not count as a make up. They are:
 
• Vocational Days
 
• Vocational Ethics Day
 
• Rotary Club of Edina Family Picnic
 
• Edina Rotary Foundation Fundraiser & Gala
 
• Area 3 Veterans Luncheon
 
• Thanksgiving Baskets Assembly
 
• Holiday Party
 
If you have a question on whether a meeting or event counts as a make up, just contact the Club Administrator. 
 
What is the difference between a regular make up and one done at another Rotary club? 

When you send in a committee meeting or other make up, the information will be entered into ClubRunner by the Club Administrator, and the make up will be put toward your attendance for the Rotary year. If you attend another club's Rotary meeting as a make up, it not only goes toward your attendance, but you also are reimbursed for paying to attend another club's meeting. If you send in a make up from another Rotary club, you will receive a $19 credit on your next quarterly invoice. 
 
When sending in information about another Rotary meeting you attended, you do not need to send in the make up card. Just email the Club Administrator the date of the meeting and club meeting that you attended. When you host an event ...

If you hosted a Rotary event or meeting recently, please send the Club Administrator a list of all attendees. This makes it much easier to give people credit for attending. The exception is events that have a registration list in ClubRunner. Those events already have a attendee list on the website that the Club Administrator can use for make up purposes. 
 
When should members send in make-up information and what should be included?

The Club Administrator will send out an email reminder around the beginning of each month to send in all make ups. Members can send in make ups once a month when they receive the reminder, or any time they attend or host Rotary meetings or events. Rotarians don't have to wait until the beginning of the next month to send in the info, it can be emailed to the Club Administrator at any time. Note that make ups are only entered in ClubRunner once a quarter. 
 
Each make up should include the name of the Rotarian, the type or location of the make up, and the date of the make up.

Members can not enter their own make ups in ClubRunner. All make ups must be sent to the Club Administrator to be entered into the system and put toward your attendance for the Rotary year. 
 
Perfect attendance and checking your attendance report on ClubRunner
 
The Rotary Club of Edina awards members for Perfect Attendance if they:
 
1. Attend all Rotary Club of Edina meetings for the full Rotary year (beginning of July through end of June) or
 
2. Have a make up from that Rotary year submitted for each meeting they missed in that Rotary year.
 
The Club Administrator will send an email to members who have or are close to Perfect Attendance in May of each year. Members will have a chance to submit any make ups they may have missed during just the past Rotary year to get to 100 percent attendance by the end of June. Members who achieve Perfect Attendance will receive a congratulatory email in early July and will be honored along with other members who accomplished 100 percent attendance at a meeting in later July or August. 
 
Any time you want to check your attendance record, simply log into the Member Area of our website and go to "My Attendance." You can see how many meetings you have missed, and how many make ups you have used that Rotary year. Sometimes a member will have "banked" make ups, meaning a make up was entered that was not needed. That make up is available for the Club Administrator to apply to the Rotarian's account as needed. Because of time constraints, make ups are only entered into ClubRunner on a quarterly basis. All make ups should be in the system around the time quarterly invoices are sent out (the first of January, April, July and October), so that is a good time to check your attendance record on ClubRunner. Since a member cannot get more than 100 percent attendance, not all make ups submitted will be entered into ClubRunner if the member already has perfect attendance. The Club Administrator will track the extra make ups, and will enter them into ClubRunner as needed. Please try to check your own attendance record before asking the Club Administrator to look up the record.
 
Meeting attendance is added to ClubRunner once a month. As mentioned above, make ups will be entered in ClubRunner on a quarterly basis. If you see a problem with your record, contact the Club Administrator.
